  • My thought is to bring in the questions “What are 3 things from your past experience that you would bring into this position?” and “What are 3 things you disliked or would never want to do again in any position?” I believe they would provide a great deal of insight to the personal attributes of the person interviewed.

    My interviews start out with a welcome, did you have any issues finding our location, the weather, etc. as a warm up and then I explain that I have some preformatted questions to start with and they will be able to ask any questions regarding the position when those have been completed. I explain that every interviewee is asked these questions, they can utilize scenarios from a past or present employer and they can ask for the questions to be repeated. I have learned to ask open ended questions so the interviewee can elaborate as much or as little as they would like and I can use additional prompts if they don’t seem to be “getting” the question.
    1) Describe a typical day with a past or present employer and how you organized your day. How did you deal with distractions and changes in priorities? What were the outcomes?
    2) What would you check first if you found a billing discrepancy? How would you go about resolving it?
    3) Tell us about a time when you had a tight deadline for a project or task. How did you manager to complete in time and what was the outcome?
    4) Tell us about a time when you have dealt with a difficult insurance representative. What was the outcome of the situation?
    5) This position can be somewhat repetitive. What motivates you to do well and perform routine tasks?

    Goal -1, Improve the review and approval of claims to decrease initial claim submission rejects to no more than 25 claims weekly, down from the current average of 50.
    Subset of Goal-1, A) Educate/review billing tabs (software functions) and approval process per carrier, B) Educate/review software reject process/reject reasons for problem solving.
    Goal -2, Decrease denial rate of partially paid claims from baseline of 15% to 5% over the next fiscal year.
    Subset of Goal-2, A) Reduce eligibility issues, B) Reduce Timely Filing Issues, C) Timely follow up on denied claims

    The Billing Manager position was new to PHC in 2017. After several months of observing and settling into the position, it was evident that we needed better training for new staff, whether that be temporary or regular FTE. I made a significant effort to learn the various postions on a high level and requested the help of the billing staff to outline the various workflows they encounter during their day and cataloging those into binders for each position. This proved to be very effective and is expected to help minimize turnover in the department by having the correct tools/education for job performance. Throughout the process, it helped me to identify the strong leaders of the group and we now have a Billing Representative II in place to facilitate training in the department and provide additional direction. Staff members do not always have to wait for my direction as they now have a subject matter expert to turn to when I am not available and questions arise.

    Going to the people that do the work for their opinion and constructive criticism/feedback has been very helpful. It creates “buy-in” and ownership along with goals, instilling productivity, hopefully with an end result of positive and productive change or process improvement.

    One of my challenges is time, I agree, but my door is almost always open for their concerns. Another is getting everyone to be open about their work and the things that hinder them in order to provide support and engagement. Linda and I work on the same system and it is very frustrating to not know how much you will be able to accomplish because of the lost time and system capabilities or lack of the same. If there was engagement and interest, it sometimes is easily lost.
